This policy sets out the terms under which refunds are provided for R3 Retreats program fees. All amounts are in Canadian dollars.
Full refund of program fees paid, minus a $75 CAD administrative processing fee.
50% refund of total program fees paid. The remaining 50% is non-refundable due to preparation costs and the opportunity cost of reserved spaces.
Non-refundable, except in the case of documented medical emergencies (see below). Participants may, with at least 7 days notice, transfer their enrollment to another program date — subject to availability and a $100 transfer fee.
Where a participant cancels due to a documented medical emergency — with written confirmation from a licensed physician provided within 14 days of the cancellation — we will issue a full refund or a credit toward a future program, at the participant's choice. We review each medical exception on a case-by-case basis.
If R3 Retreats cancels a program for any reason (including insufficient enrollment, weather events that create genuine safety risk, or operational issues), enrolled participants will receive a full refund of all fees paid, or the option to transfer to an equivalent future program at no additional cost.
R3 Retreats is not liable for travel costs, accommodation costs, or other expenses incurred by participants in connection with a cancelled program. We recommend travel insurance for this reason.
Participants who choose to leave a program early for personal reasons are not entitled to a partial refund. If a participant is asked to leave due to conduct issues, our standard cancellation terms apply depending on the timing relative to the program start date.
To request a refund, contact us in writing at [email protected] with your name, the program you were enrolled in, the program date, and the reason for cancellation. We will respond within 5 business days. Approved refunds are processed within 10 business days to the original payment method.
A deposit (typically 25–30% of the total program fee) is collected at the time of enrollment confirmation. The deposit is included in the refund calculations above and is not separately non-refundable except within 14 days of the program start date.
